Privacy Policy

What KikuTune stores, for how long, and the choices you have.

KikuTune is operated by Andrii Herasym, an individual developer in Illinois, United States, operating KikuTune under the KikuLabs brand. In this Policy, “KikuTune,” “we,” and “us” mean that operator.

This Policy explains what KikuTune processes, what stays on your PC, what may be sent to KikuTune services, and what choices you have.

1. What this Policy covers

This Policy covers:

  • the KikuTune Windows application;
  • KikuTune Account and cloud features;
  • Community presets;
  • support and account-management services; and
  • optional reliability telemetry.

2. Information processed on your PC

Most device and audio features work locally. KikuTune may process on your PC:

  • app settings, preferences, EQ presets, and audio settings;
  • selected headphone and audio-output information;
  • Windows and Bluetooth information needed for supported features;
  • connection, battery, and feature state;
  • a small sanitized health and error log; and
  • notification content only when you enable a feature that needs it and grant Windows permission.

KikuTune does not use audio, notification content, media titles, device names, Bluetooth identifiers, or raw Bluetooth payloads for advertising or reliability telemetry.

3. KikuTune Account and cloud data

An account is optional unless an online feature requires one. When you sign in or use cloud features, KikuTune may process:

  • identifiers supplied through Microsoft authentication;
  • KikuTune account ID, status, display name, and selected avatar;
  • entitlements, licenses, and promotional-code status;
  • legal-consent versions;
  • installation public-key thumbprints and limited account-security state;
  • account lifecycle and deletion state;
  • private presets you choose to synchronize; and
  • security records needed to protect accounts and the service.

Microsoft provides authentication. KikuTune does not receive or store your Microsoft password. Authentication tokens are not intentionally included in telemetry or application logs.

4. Community and support

Publishing a Community preset is optional and happens per preset. Public information may include:

  • display name and avatar;
  • preset name and description;
  • built-in icon and tags;
  • supported headphone models;
  • EQ and limiter values;
  • publication date; and
  • aggregate likes and downloads.

Private or unlisted presets are not shown in Community. KikuTune may process reports and moderation records to address abuse, unlawful content, infringement, spam, unsafe presets, or violations of the Terms.

If you contact support, KikuTune may process your email address, message, attachments you choose to send, and sanitized diagnostics you choose to export. Do not send passwords, authentication tokens, raw Bluetooth captures, or information unrelated to the support request.

5. Optional reliability telemetry and diagnostics

Collect logs and data is off by default.

When it is off:

  • KikuTune sends no product analytics or reliability telemetry to KikuTune telemetry services; and
  • a sanitized local health log may remain for no more than seven days and is limited to 4 MiB.

When you turn it on, KikuTune may additionally:

  • keep sanitized local diagnostics for no more than seven days, limited to 16 MiB; and
  • send limited reliability events containing app version/channel, processor architecture, coarse Windows build, coarse device family, operation category, outcome category, and coarse duration, retry, or count buckets.

KikuTune telemetry events are designed to exclude:

  • account, email, installation, or stable tracking identifiers;
  • stable pseudonyms or client timestamps;
  • device names or Bluetooth identifiers;
  • notification or media content;
  • audio;
  • raw Bluetooth payloads;
  • detailed battery or RSSI history;
  • file paths;
  • raw exception text or stack traces; and
  • raw logs.

The KikuTune application does not place an IP address in the telemetry payload. Cloudflare receives source IP information as part of network delivery and security processing. KikuTune does not write raw IP addresses to its Analytics Engine telemetry dataset.

Turning collection off stops new submissions, clears the in-memory send queue, and removes extended local diagnostics. The limited local health log remains.

Diagnostics exports are available only when optional collection is on. Exports are sanitized and do not copy raw log files directly. A limited support summary remains available while collection is off.

6. Why information is used

KikuTune uses information only to:

  • provide features you request;
  • authenticate users and manage accounts or entitlements;
  • synchronize or publish presets at your request;
  • operate Community and support;
  • secure accounts, prevent abuse, and enforce the Terms;
  • maintain app and service reliability; and
  • comply with legal obligations.

KikuTune does not sell personal information, share it for cross-context behavioral advertising, or use it for targeted advertising.

7. Service providers and disclosures

KikuTune uses:

  • Microsoft for authentication and related identity processing;
  • Cloudflare for network delivery, application infrastructure, security, rate limiting, abuse protection, and telemetry infrastructure; and
  • SMTP2GO to deliver account sign-in (one-time passcode) email on KikuTune's behalf, which processes your email address and the message contents needed to deliver that email.

These providers process information under applicable contracts and laws. KikuTune may also disclose information when reasonably necessary to comply with law, protect users or the service, obtain professional advice, or complete a business transfer. KikuTune does not disclose private account or preset information merely because someone requests it.

8. Retention

Sanitized local health logs are retained for no more than seven days. Optional local diagnostics are retained for no more than seven days and are removed when collection is disabled. Optional reliability telemetry is retained for no more than three months.

Account, Community, support, moderation, security, and related operational records are retained only for as long as reasonably necessary to provide the service, protect KikuTune and its users, resolve disputes, prevent abuse, or comply with applicable legal obligations.

Account-associated data eligible for deletion is deleted or de-identified through the account deletion process, subject to limited backups and records that must be retained for security or legal purposes. Public Community content remains until you make it private, delete it, or KikuTune removes it under the Terms.

9. Your choices and rights

You may:

  • use supported local features without an account;
  • keep optional telemetry off or turn it off later;
  • keep presets private or unlisted;
  • remove Community content you published;
  • export eligible account information; and
  • request correction or deletion of eligible account information.

Privacy rights vary by location. KikuTune may need to verify your identity before completing an account-data request. To make a request or appeal a privacy decision, contact privacy@kikutune.com.

10. Children and international processing

KikuTune Account and Community services are not directed to children under 16. You must be at least 16 to create a KikuTune Account or use Community services. This age restriction does not apply to supported local, offline functionality that does not require a KikuTune Account.

KikuTune services are operated from the United States and may use providers that operate internationally. Privacy rights may vary based on where you live.

11. Security

KikuTune uses reasonable technical and organizational measures designed to protect information. No online service can guarantee absolute security.

12. Changes

KikuTune may update this Policy when features, data practices, providers, or legal requirements change. Material changes receive a new version and, where required, notice or consent.
